- introduce the word of the day (or an expression, an idiom, etc.), explain the correct use of it and give some examples of its use. It should be a word that will help members increase their vocabulary and one that can be incorporated easily into everyday conversation, but is different from the way people usually express themselves. Adjectives and adverbs are more adaptable than nouns or verbs, but feel free to select your own special word. If you know the theme of the meeting, use this to help you select your word.

- print the word of the day in big letters on two sheets of paper: hang one of them on the lectern and put the second one on the table in the middle of the ‘U’ shape (where audience sits) so that the members which are on the stage as well as the audience see the word of the day (more effective than writing it on the board since it’s hard to see for most of the audience)

- count the use of the word of the day for everyone who spoke on the stage

Check in the CL (Competent Leadership) manual if this role fulfills any of the projects of the manual. If it does, don’t forget to bring your CL manual to the meeting and before the meeting ask someone to evaluate you in that role.

Your job is to evaluate around 12 roles in 10 – 10:30 min. Therefore you must make concise comments – you are certainly not exempt from the above timings!

Below are the main points of a good General Evaluation – remember – this is the most important role for quality control and development of Club Meetings – treat the GE job with great respect!

Arrive at meeting a few minutes early to observe advance preparation of Sergeant at Arms etc.

Sit somewhere where you can focus on the whole meeting undisturbed.

Before meeting starts think of something(s) that you want to focus on – Timings

Audience participation, quality of all evaluations , friendliness towards visitors, respect for all speakers (i.e. no talking when someone is speaking during whole meeting)

Paper pushing :-) How are notes passed for voting? Do people know who to pass them to?

Is the room arranged well for speaking – as General Evaluator this is your chance for making alternative seating plan.

Be exemplary in your use of evaluation speak – make a general comment about the meeting and then one specific commendation and recommendation for each speaker. Evaluation team can sometimes be grouped together e.g. those who did a good job of CRC and how we can all learn from this!

Your final statement MUST be within 30 sec of your time limit.. If you are nowhere near the end say you will give evaluation to the remaining people with roles directly after the meeting, just wrap up your evaluation

A simple GE form you can use is available here (print it or you get it from the Sergeant at Arms). However, feel free to use another or your own form if you like.

Check in the CL (Competent Leadership) manual if this role fulfills any of the projects of the manual. If it does, don’t forget to bring your CL manual to the meeting and before the meeting ask someone to evaluate you in that role.

The person who the question is about can not answer the question (logical, right? ;))

First pick members who don’t have any role at the meeting. At the beginning of the meeting highlight on agenda all members who are present and don’t have a role.If there are some guests, either ask them before the meeting if they want to give a TT speech or just ask during the TT Session if any of guests want to answer your TT ‘question/ topic’.

Ask clear and, if possible, simple questions and always say the question twice!

Shake hands with the TT Speaker before as well as after their speech.

After the last TT Speaker finishes their speech, ask all the TT Speakers to stand up as you read their names. Don’t write their names on the whiteboard – most of the members can’t see them anyway and as they see TT Speakers standing up, they better remember what they were speaking about.

When a member having a role is overtime (30 sec over the time limit for the role in the agenda), you ring the bell for 2-3 sec (or knock sharply with a pen three times on the table if there is no bell). For example, if a TT Speaker speaks for more than 2:00, you ring (knock) at 2:30 and the speaker knows he/she must finish.

If the person doesn’t finish, you ring the bell (knock) again 3 times 30 sec later (e.g. for TT Speaker you would knock again at 3 min) and it’s the ultimate end of speaking for that person – no exceptions.

Record only times of the roles that are in the agenda (you don’t have to record the time of every introduction of the Toastmaster of the meeting, just the ones that are in the agenda) – don’t forget to turn the color card back to the white one after a member finishes speaking on the stage.

You’ll be asked to read the times three times: after the last Speaker finishes their speech, then after the the last TT Speaker finishes their speech and finally after the Quiz.

If you can, smile when reporting the times of members with roles! It makes such a difference in how audience perceives your report then! ;)

Check in the CL (Competent Leadership) manual if this role fulfills any of the projects of the manual. If it does, don’t forget to bring your CL manual to the meeting and before the meeting ask someone to evaluate you in that role.

Briefly explain your role: counting ‘ahs’ and other fillers and watching good/bad language

Count the use of ‘crutches’ such as ‘ah’, ‘um’ and ‘err’ and filler words such as ’like’, ‘aand’, ‘you know’, ‘so’, ‘well’, etc.

Comment on the positive and negative uses of English during the meeting. If you don’t feel comfortable doing this, you don’t have to do it. Do something else instead of it – a chance to apply your own ideas here! It should relate, however, to the Grammarian role, to improvement of the way we express ourselves etc.

Check in the CL (Competent Leadership) manual if this role fulfills any of the projects of the manual. If it does, don’t forget to bring your CL manual to the meeting and before the meeting ask someone to evaluate you in that role.

When you’re choosing to evaluate someone’s speech, please try to pick a member who has approximately the same or lower level of Toastmasters experience, which means you’ve completed about the same number of speeches in CC manual as the Speaker did or more. However, if a Speaker who has done more speeches than you asks you to evaluate their speech, then no problem, feel free to do it! ;)

If you’re a member who already completed CC manual (i.e. you’re an advanced Toastmaster), then there are no real “rules” here so you can evaluate a speech of more advanced member if you like.

When evaluating a Speaker, it’s very good to use ‘Sandwich Method’, i.e. commendation, then recommendation and conclude again with a commendation. Pick not more than 3 commendations and 3 recommendations. If you have more to say to the Speaker, include it in the written evaluation in their manual or you can tell them personally after the meeting. Try to choose such recommendations that can be useful to other members, as well.

More info on giving evaluations at Sixminutes.dlugan.com

Check in the CL (Competent Leadership) manual if this role fulfills any of the projects of the manual. If it does, don’t forget to bring your CL manual to the meeting and before the meeting ask someone to evaluate you in that role.
